How to use the hours calculator

  1. Time card: enter start and end times for each day you worked, plus unpaid break minutes. Use "Copy Monday" if your hours repeat.
  2. Add your hourly rate to see pay, and pick the overtime rule that applies to you.
  3. Hours between two times: for a single shift, enter the start and end time, or tap Now to use the current time.
  4. Copy the summary, download a CSV for your records or print the time card.

How hours are calculated

For each day, the calculator subtracts the start time from the end time and takes away the break. If the end time is earlier than the start, it adds 24 hours, which handles night shifts.

hours = (end − start) − break
decimal hours = hours + minutes ÷ 60

Pay is regular hours times your rate, plus overtime hours times 1.5 times your rate. With the weekly rule, hours over 40 in the week are overtime. With the daily rule, hours over 8 in a day are overtime.

Overtime rules in the US

The federal Fair Labor Standards Act requires overtime pay of at least one and a half times the regular rate for hours worked over 40 in a workweek, for non-exempt employees. Some states add daily overtime rules. Check with the U.S. Department of Labor or your state labor office for the rules that apply to your job.

Frequently asked questions

How do I calculate hours worked?

Subtract the start time from the end time, then subtract unpaid breaks. For 8:45 AM to 5:15 PM with a 30-minute lunch: 8 hours 30 minutes minus 30 minutes is 8 hours. The calculator does this for every day of the week and adds it up.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.5 and 45 minutes is 0.75, so 7 hours 45 minutes is 7.75 hours. Payroll usually needs decimal hours.

What if a shift goes past midnight?

Enter the end time as normal. If it is earlier than the start time, the calculator treats it as the next day, so 10:00 PM to 6:00 AM is 8 hours.

How is overtime calculated?

Under the US Fair Labor Standards Act, non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek. Some states, such as California, also require daily overtime after 8 hours. Choose the rule that applies to you.
